Nanbin OEM Process: From First Inquiry to Bulk Delivery
The OEM process from your first inquiry to receiving your bulk order follows six stages. Here is what happens at each step and what you can expect.
Step 1: Inquiry and Quotation
You send us your product requirements — style reference, quantity, specifications, and any other relevant details. We review the requirements and respond with a quotation within 24 hours for complete inquiries.
The quotation includes product cost, packaging, and applicable shipping terms. For details on what to include in your inquiry for the most accurate quote, see our guide on requesting a quote.
Step 2: Sample Development
After you accept the quotation, we move to sampling. If you have a tech pack, we develop the sample to your specifications. If you do not have a tech pack, we recommend a stock style and adjust from there.
Custom samples are typically completed within 7 days. We include one free revision per sample to ensure the fit and finish meet your expectations.
For a detailed walkthrough of the sampling process, see what to prepare before requesting a sample.
Step 3: Order Confirmation and Deposit
Once the sample is approved, we prepare a proforma invoice (PI) with the final pricing, quantity, and delivery timeline. You review and sign the PI, then pay the deposit to confirm the order.
Our standard payment terms are 30% deposit and 70% balance before shipment. Payment is made via T/T bank transfer. For full details, see our payment terms guide.
After the deposit is received, your order enters our production schedule and we begin material procurement.
Step 4: Production
We source materials based on your specifications — fabric, trims, labels, and packaging. Production runs according to the confirmed timeline. During production, we conduct in-line quality checks to catch issues early.
For a detailed explanation of our quality control process during production, see our in-line and final inspection guide.
Step 5: Final Inspection and Shipping
After production is complete, we conduct a final inspection covering quantity, appearance, sizing, function, and packaging. Defective pieces are replaced before packing.
Once the inspection passes, we prepare the shipment according to your chosen shipping terms (EXW, FOB, or DDP) and arrange transport.
For a full breakdown of what we check before shipping, see our pre-shipment inspection guide.
Step 6: Delivery and After-Sales
The goods are shipped to your destination. We provide tracking information and shipping documents. After delivery, if you encounter any quality issues, our claims process is available to assist you.
For after-sales support, see our guide on filing a quality claim.
FAQ
How long does the entire OEM process take?
A typical OEM timeline is 30–45 days from deposit to shipment, including sample development, production, and inspection. Custom timelines depend on product complexity and current production schedule.
Can I skip the sample stage?
If you select a stock style, sampling may not be required. For custom designs, sampling is recommended to verify fit and finish before bulk production.
What payment terms do you use?
Our standard terms are 30% deposit and 70% balance before shipment, paid via T/T bank transfer.
Can I visit the factory during production?
Yes. We welcome factory visits during production. Contact us to schedule a visit at any stage.
What happens if I need to change the design after production starts?
Major changes during production may reset part of the timeline and incur additional costs. We recommend finalizing all specifications at the sample stage.
